Hidden Costs Breakdown

1

Peak-User-Count Annual Renewal Billing

critical overage

Teamwork renews annual contracts based on the maximum number of users during the prior year, not the current active user count. Teams that added seats mid-year and later downsized face surprise renewal invoices at the higher peak headcount, with no refunds offered after the charge.

trustpilot

They make you pay in advance for using the project and then even if you downgrade your plan during the time you use them or use less users they will renew your plan at whatever maximum amount of users you had during the year. They don't tell you they are renewing your plan and then they send you a bill for total amount of users you had throughout the year regardless of if they are current. For us this meant a $1200 renewal fee even though we only had 2 active users at the time they charged us.

2

No Refunds on Annual Plans or Unused Seats

high overage

Annual plan fees are non-refundable regardless of circumstances — team size reductions, maternity leave, or cancellation mid-year all result in forfeiting the remaining paid term. Multiple users report being denied refunds for seats they no longer needed, with no grace period or pro-rata credit.

trustpilot

we have a team member going on maternity so I requested a refund for the seat we are no longer using. They have refused to refund us because we paid annually. Which we had no choice over.

trustpilot

Cancelled but were forced to pay for a whole additional year by them.

3

Data Export Fee

high migration

Teamwork charges for exporting certain project data types (such as chat history). There is no self-service export option — users must request an assisted export, which has been quoted at $500. This creates a vendor lock-in dynamic and imposes a switching cost at cancellation.

trustpilot

There's no way to export your own data yourself. No button, no option in settings. Instead, Teamwork tells you they'll do it for you, but it'll cost $500. They literally charge you by the hour just to get your own information off their platform.

4

Arbitrary Plan Caps Forcing Rapid Upgrades

high overage

Lower-tier plans include hard caps on features such as retainer budgets and project budgets. Critically, completed and archived projects count toward these caps, so agencies with even a modest client history can exhaust limits within days of setup. Users report hitting the cap after configuring as few as two active client projects and being forced to upgrade to the Scale plan.

trustpilot

the "Grow" plan has a hard limit of 30 budgets. This limit nonsensically includes completed or archived projects, meaning the cap is quickly reached, forcing an upgrade rather than reflecting actual, current usage.

trustpilot

after configuring just TWO client projects, the retainer budgeting limit had been reached. To get more I would need to upgrade to the "Scale" plan (more than double the cost again at $55/mo per user, so it would be $2000 annually for our team of 3)

5

Scale Plan Minimum User Requirement

medium addon

The Scale plan (custom pricing, sales-contact required) imposes a minimum of 5 users, forcing small agencies to pay for seats they do not need. There is no self-service sign-up; users must negotiate with sales and report delays receiving payment links even after agreeing to a contract.

trustpilot

The entire sales and tier structure feels designed to force small but growing teams onto a minimum 5-user "Scale" plan.

trustpilot

stupid billing model. 3 user min, billed annually.

6

Reporting Locked Behind Premium Tier (Teamwork Desk Add-On)

high addon

In the Teamwork Desk helpdesk add-on product, reporting is unavailable on the base paid plan despite that plan including time tracking. Accessing any reporting requires upgrading to the Premium Desk tier. The feature gating is described by reviewers as non-intuitive given that the lower plan already tracks time.

trustpilot

their first paid plan, Pro, costs at least $17 per user per month and still includes zero reporting functionality. This is surprising, especially because the Pro plan includes time tracking. Logically, you would expect some level of reporting on the time that is being tracked. Instead, there is none.

trustpilot

unless you upgrade to the Premium plan at $33 per user per month, you have no built-in way to understand how your support desk is performing from an efficiency or workload perspective.

7

Features Moved to Higher Tiers Without Notice

high addon

Existing customers report that features previously included in their plan have been moved to higher-tier plans mid-subscription, effectively reducing the value of a paid plan without reducing its price. Automations are specifically cited as being tied to limited credits on lower tiers.

trustpilot

After being on what was a fully inclusive top-tier plan, suddenly new features are popping up that we don't have access to.

trustpilot

Everything is tied to limited credits, automations don't work at all. They keep messing with functions we used regularly and breaking things which has impacted our productivity.

8

Limited Support Hours and No Real-Time Chat

medium support

Support is email-only with resolution times ranging from days to weeks. Multiple reviewers report support availability reduced to approximately 5 hours per day, with no live chat option. For teams in non-UK time zones using Teamwork as business-critical software, this represents a meaningful operational gap.

trustpilot

their support suddenly seems to be only available 5 hours a day which is a big downside since we consider this business critical software.

trustpilot

No chat/intercom, you have to email them and ish takes week/s to resolve (if it does at all).
